Policies & Agreements

The terms governing your use of the Spec Designer platform.

Spec Designer Terms & Conditions

1. Acceptance of these Terms

These Terms & Conditions govern your use of Spec Designer ("the Software").

By creating an account, starting a free trial, purchasing a subscription or otherwise accessing or using the Software, you agree to be bound by these Terms & Conditions.

If you do not agree to these Terms & Conditions, you must not access or use the Software.

2. About the Service

Spec Designer is a cloud-based FF&E specification platform designed for interior design professionals.

The Software enables users to create, manage and publish specification books, schedules, reports, images and project information through an internet connection.

We may update, improve or modify the Software from time to time to improve functionality and security.

3. Free Trial

Spec Designer may offer a free trial to allow you to evaluate the Software before purchasing a subscription.

The free trial is provided free of charge and will remain available until the earliest of:

  • The expiry of the trial period.
  • The commencement of a paid subscription.
  • Termination of the trial by either you or Spec Designer.

Any data, project information, reports, specifications, templates, images or customisations created during the free trial may be permanently deleted if a paid subscription is not purchased before the trial ends. We recommend downloading or exporting any information you wish to retain before your trial expires.

The free trial is provided solely for evaluation purposes. Certain features, services or levels of technical support may be limited or unavailable during the trial period.

Spec Designer reserves the right to suspend, withdraw or terminate a free trial at any time where it reasonably believes the trial is being misused, used fraudulently or used in breach of these Terms & Conditions.

Participation in a free trial does not create any obligation for Spec Designer to continue providing the Software beyond the trial period or to offer a subscription on the same terms.

4. User Accounts and Licensing

You are responsible for:

  • Providing accurate registration information.
  • Keeping your login details secure.
  • Ensuring only authorised users access your account.
  • Maintaining the confidentiality of your passwords.

Spec Designer operates on a concurrent licensing basis. The number of users accessing the Software at any one time must not exceed the number of active licences included within your subscription.

Licences may be reassigned between members of your organisation, for example where staff roles or personnel change.

You may increase or reduce the number of licences during your subscription, provided that at least one active licence is maintained throughout the initial 12-month minimum subscription term.

Additional licences may be added at any time.

Licence reductions will take effect from the next monthly billing date. No refund or credit will be provided for licences removed part-way through a monthly billing period.

Your subscription fee will be adjusted to reflect the number of active licences and the applicable volume discount.

Changes to the number of licences do not restart or extend the initial 12-month minimum subscription term.

5. Subscriptions and Payments

Spec Designer is provided on a subscription basis.

Paid subscriptions are subject to an initial minimum term of 12 months.

Subscription fees are billed monthly in advance by Direct Debit.

The subscription fee is calculated according to the number of active licences and the applicable subscription price and volume discount.

At the end of the initial 12-month minimum term, your subscription will continue automatically on a rolling monthly basis unless cancelled in accordance with these Terms & Conditions.

After the initial 12-month term, you may cancel your subscription by giving one month's written notice.

During the initial 12-month term, you may increase or reduce your number of licences in accordance with Section 4, but you must maintain at least one active licence.

We reserve the right to amend our subscription pricing and volume discounts from time to time. We will provide reasonable advance notice of any changes to the price of an existing subscription.

If subscription fees remain unpaid, Spec Designer reserves the right to suspend access to the Software until payment has been received. Continued non-payment may result in termination of the subscription and deletion of account data in accordance with these Terms & Conditions.

6. Cancellation and Data Export

Your subscription cannot be cancelled during the initial 12-month minimum term, although the number of licences may be increased or reduced in accordance with these Terms & Conditions, provided at least one active licence is maintained.

Following the initial 12-month term, your subscription may be cancelled by giving one month's written notice.

Following the end of your subscription, your account will remain accessible for 30 days to allow you to download your project data.

During this period you may download or export:

  • Specification books.
  • Reports.
  • Schedules.
  • Data in PDF or CSV format.

Images may be downloaded individually at no charge.

If you require a complete archive of all project images, Spec Designer can provide this as an administrative service. The current administration fee will apply.

Following the 30-day period, your account and associated data may be permanently deleted.

Customers are responsible for maintaining their own backups by exporting important project data where appropriate.

However, no internet-based service can be guaranteed completely secure, and you acknowledge that use of the Software is at your own risk.

14. Disclaimer

While we make every effort to provide a reliable, secure and high-quality service, Spec Designer is provided on an "as available" basis.

We do not warrant that the Software will be uninterrupted, error-free or available at all times, nor do we guarantee that it will meet every individual business requirement.

You are responsible for ensuring that the Software is suitable for your intended use and for verifying the accuracy of any data, reports or documents generated using the Software before relying upon them.

Any guidance, advice or assistance provided by Spec Designer, whether verbally or in writing, is provided in good faith and does not constitute a warranty or create any additional contractual obligation unless expressly agreed in writing.

15. Limitation of Liability

To the fullest extent permitted by law, Spec Designer shall not be liable for any indirect, consequential or incidental loss, including loss of profits, business interruption or loss of data arising from the use of Spec Designer.

Spec Designer reserves the right to refuse future access to the Software where a previous account has been terminated for breach of these Terms & Conditions.

17. Changes to these Terms

We may update these Terms & Conditions from time to time.

Where changes materially affect your rights, we will provide reasonable notice before the updated Terms become effective.

Continued use of the Software after the updated Terms become effective constitutes acceptance of the revised Terms.
